Drawing confidentiality: what to agree before the first file
Architectural drawings can contain information about clients, buildings and commercial plans that should be handled deliberately. Before sharing the first file, establish why the provider needs it, who should receive it and what the working arrangement says about its use. BIM12's offer includes an NDA before the first drawing and deletion of files on request.
Agree the purpose and coverage
Identify the project materials the provider will receive and the architectural task they support. Review the confidentiality agreement with the people responsible for the practice's contracts where needed. Check that the arrangement is understandable for the actual exchange, rather than relying on a generic statement in a conversation. If the practice has commitments to its own client, confirm how those affect sharing. A confidentiality promise does not remove the need to establish that the practice is entitled to provide the material.
Share a coherent, relevant package
Send the references needed for the agreed work and avoid adding unrelated client files or unnecessary personal information. Keep the current package in the agreed location with clear access arrangements. Establish the named contacts and how additional material will be requested. If a project has particular restrictions, explain them before transfer and agree whether the service can accommodate them. Do not assume that every confidentiality requirement is identical just because two assignments both involve architectural drawings or belong to the same office.
Plan retention and deletion
The BIM12 offer states that files are used for the assignment and deleted when requested. Clarify the practical route for a deletion request and coordinate it with the practice's need to keep its own project record. Identify which delivered files, decisions and correspondence the team should retain internally for continuity. Ask directly about any requirement not explained by the standard agreement. Avoid inventing a technical retention period or a particular security certification when none has been provided as part of the offer.
A confidentiality handoff check
- Confirm the practice can share the selected material for the intended assignment and complete the NDA before sending the first project drawing to the provider.
- Limit the package to relevant project information, identify any particular restrictions and agree the named recipients and location used for current files during the commission.
- Keep handling instructions and deletion-request arrangements with the project record, coordinating the provider request with the practice's need to retain its own delivered files and evidence.
Save the NDA, agreed scope and relevant handling instructions where the responsible project team can find them. Revisit the arrangement when the type of material or the recipients change. Confidentiality is easier to manage when the purpose, contacts and file lifecycle are clear before the first upload, giving both sides an understandable basis for handling the drawings throughout the modeling assignment.
General guidance: each project's scope is confirmed before commissioning.
