BIM deliverables: what an organized handover contains

A good BIM handover is a small, understandable package that lets the receiving practice find the current files and continue the agreed work. The model is central, but its context matters too. Source revisions, assumptions and review status prevent a technically usable file from becoming an ambiguous starting point for the next team member.

Define the package before production

Agree the required model formats, included floors and areas, any Revit version requirement and the intended information depth. State whether additional views, schedules or supporting documents form part of the commission. Avoid assuming that a modeling service includes every type of architectural documentation. A brief list of expected deliverables gives both parties an acceptance checklist and makes any later request for extra work easier to identify and discuss before it affects the delivery date.

Include the essential context

Provide an issue note naming the project, revision and date. Link the model to the source drawing issues and identify the assumptions incorporated. Include unresolved questions and any exclusions that limit use. When native and IFC files are issued together, make their relationship explicit. Use clear filenames and a simple folder structure so the recipient can distinguish active deliverables from background information. The package should make sense to someone who did not participate in every message exchanged during production.

Check the receiving experience

Open the issued files in the intended environment and inspect a representative set of levels, elements and complex conditions. Confirm that supporting notes refer to the actual delivered revision. Verify that the person continuing the work knows where to find the current issue and how to raise feedback. Where the package includes a viewer, explain its role in review without implying that viewing alone replaces checking the editable or exchange files needed for the next stage.

A delivery-package check

  • Confirm that the package contains the agreed formats, floors and supporting information, with filenames that a colleague outside the original conversation can understand.
  • Match the issue note to the delivered revision and identify the source drawings, approved assumptions and unresolved questions limiting use for the next stage.
  • Open the issued files in the intended environment and record whether they are awaiting review, accepted for a defined purpose or subject to listed questions.

Record whether the delivery is awaiting review, accepted for a defined purpose or subject to listed questions. Archive superseded files separately and retain the final feedback record. An organized handover reduces the need for personal explanation because the files carry enough context to be understood. It gives the practice a dependable base and a visible record of the decisions and limitations accompanying it.

General guidance: each project's scope is confirmed before commissioning.
