Freelancer or external BIM department: how to compare

A freelancer and an external BIM department can both provide useful architectural modeling capacity. The labels alone do not establish service quality, continuity or cost. Compare actual working arrangements against the same project brief, with particular attention to who handles questions, reviews, revisions and availability when the practice needs more than a single delivery.

Compare the commissioned work

Describe a representative assignment with its source quality, included floors, element scope and required files. Ask both options what they would deliver, which assumptions they require and what sits outside the price. Confirm the required Revit version and any IFC exchange needs. Include review and change handling in the comparison. A quote for model production alone is different from a package that also includes standards setup, a viewer or project administration, so separate those components before judging the totals.

Investigate continuity and communication

Ask who will perform the work, who reviews it and how absence or overlapping deadlines are handled. Establish a route for urgent questions and a named internal contact at the practice. A freelancer may offer direct familiarity with the project; a service may offer a defined process or broader capacity. Those are possibilities to verify, not automatic qualities of either category. Request concrete explanations of the workflow and evaluate whether it fits the team's own ability to prepare and review assignments.

Read the commercial boundaries

Check project definitions, revision allowances, delivery conditions and any recurring fee. Review confidentiality and ownership before transferring source files. Ask how new design requests differ from corrections to the agreed modeling scope. For BIM12, the offer includes four rounds per floor and a floor-based delivery commitment after complete inputs are received. Other providers may structure their work differently. Compare each arrangement on its stated terms, keeping architectural and engineering responsibilities clear rather than assuming a common meaning for every BIM service.

A provider-comparison check

  • Ask both options to respond to the same brief, making differences in review, revisions, tools and source assumptions visible beside the quoted production cost.
  • Confirm who performs and checks the work, how questions reach the practice and what arrangements apply when deadlines overlap or a key person is unavailable.
  • Use the first representative commission to record internal effort and file usability, then judge the actual working arrangement rather than assuming qualities from its category.

Choose work that reflects the practice's normal complexity and review the whole experience, including the internal effort required. Record whether the files are usable, questions are well framed and feedback closes clearly. The better fit is the arrangement that supports the actual pipeline and team. A specific, reviewable workflow is a sounder basis for selection than broad claims about the advantages of one provider category.

General guidance: each project's scope is confirmed before commissioning.

Let's talk about your capacity.
