A checklist before sending a drawing package

A short preflight check helps a modeling assignment start with the information it needs. The checklist should test whether someone outside the practice can understand the package, not just whether every file is present. Give one person ownership of the final issue so the provider receives a coherent set rather than fragments from several inboxes.

Confirm identity and status

Make sure each plan belongs to the correct project, floor and design stage. Identify the revision and date, and remove superseded issues from the active delivery folder. Include an index showing which documents govern the assignment. Where you retain an older drawing as background, label its purpose and limitations. A filename such as final-new does not reliably establish status. A simple issue reference shared by the brief, file folder and feedback list is easier for everyone to follow.

Check geometry and supporting information

Review units, a known reference dimension and the extent to be modeled. Supply heights, floor levels and the sections or elevations needed to explain the building. Identify any difference between drawings before asking the modeler to resolve it. Check that scans and annotations remain legible at the scale needed for interpretation. For DWGs, include necessary references and confirm that they can be understood together. State which information has been verified and which still depends on an assumption or a future site check.

Confirm the working agreement

Specify output formats, any Revit version requirement, element coverage and naming standards. Add a list of exclusions and unresolved decisions. Name the person who can answer architectural questions and reserve time for the first review. Confirm how comments will be collected and how updated source drawings will be issued. If the provider offers a delivery commitment, check what information must be received before its timing begins. Sending an incomplete package is not the same as starting a fully defined assignment.

A final three-part check

  • Ask a colleague to identify the current drawing for every included floor using only the package index and filenames you will send.
  • Locate the heights, units and reference dimensions without relying on private messages, remembered decisions or information stored outside the submitted project package.
  • Confirm the required files, internal decision contact and review route appear in the brief before the package is marked ready for modeling.

Open the final folder from a colleague's perspective and follow the index without relying on memory. Ask whether each important dimension, status and responsibility can be found. Keep a copy of exactly what you sent. That record makes later questions easier to resolve and gives the practice a repeatable starting checklist for the next floor or project.

General guidance: each project's scope is confirmed before commissioning.
